Volunteer Requirements
In order to have a successful team, we need parent engagement to support each meet. Each family is required to earn 5 volunteer points for the first swimmer and 2 points for each additional swimmer.
Swimmers in age groups 15 & Up are exempt from determining point requirements. The Board of Directors is also exempt from meeting point minimums.
All families will be assessed a Volunteer Registration fee of $300 (made out to Tamarron Torpedoes), in the form of a post-dated check. If the family does not complete the required volunteer service by the end of the regular season:
- The volunteer check will be cashed.
- The swimmer(s) of the family will not be eligible for MOC or All-Stars
- The family will be lowered on the priority list for the following year’s registration.
Athlete Protection Training and Official's Training
ANYONE ABOVE THE AGE OF 17 THAT IS AFFILIATED WITH THE TEAM, IN ANY CAPACITY (PARENT, VOLUNTEER, OR COACH) MUST TAKE THE ATHLETE PROTECTION TRAINING
Registering for Training
Training can be accessed by going to https://whale.swimtopia.com/training or by going to https://training.swimwhale.com.
- Click Resources.
- Select Training from the drop down menu.
- Click the "Click Here to Register" link beside the course you wish to take.
- Upon completion of the enrollment request, users will receive an email with links to log-in to the training system.
- Once you've completed the training, e-mail the certificate to Volunteer Email at [email protected]
IMPORTANT: If you took the training in the last three years, and use the same email address to sign up this year, use last year’s password to log in. In the event that you don't remember your password from last year, please click the Forgot Password link to reset it. The team and WHALe do not have the ability to set passwords, so you must use the Forgot Password functionality to reset a forgotten password.

Volunteer Positions
Volunteers are vital to the success of our team during our swim meets both home and away. Without these great people, the meet could not function and our ship would sink.
Leading Positions: 2 points per shift
- Starter*: Announces start of meet, intermission, and end of the meet on the PA system. The Starter calls the swimmers up, announces which heat is next, directs the swimmers to ‘take your mark’, checks with the timers and console operators that they are ready, uses a starting buzzer to start the race, signals any false starts, then clears the pool lanes after each heat.
- Referee* (home meets only): Reviews procedures with the judges, timers and coaches prior to a meet. Conveys infractions noted by judges to timing sheets. Clears the pool following a race, discusses protests and questions from head coaches, works with Starter and Scoring Console to keep race on schedule.
- Head Timer: Standing poolside, you will start a stopwatch with each heat, acting as a backup timer. Looking at the lane timers, if any of them have their hand raised, signaling their watch has a problem, you deliver your watch to them and take their watch.
- Console Operator*: Systematically revises heats prior to meet and provides heat sheets as needed. Operates the wireless console and the meet software to import the times from the electronic stopwatches. Overrides times with averages or backup manual times as needed.
- Stroke Judge*: Watches for the correct stroke mechanics of a swimmer during the race. Reports incorrect strokes or kicks to the Referee.
- Turn Judge*: Watches for the correct touch and turn by swimmers during a race. Responsible for the first stroke out on a start, the turn and the last stroke/touch at the wall. Reports incorrect mechanics for start, touches or turns to the Referee
- Ready Bench Lead: In charge of running the Ready Bench to ensure swimmers are lined up and ready for their next event. Provides direction to the Ready Bench Assistants.

Supporting Positions: 1 point per shift
- Assistant Starter*: Works with starter. Updates event flip chart during meet.
- Timer: Sits at the end of a designated lane and times the swimmer with a manual stopwatch or electronic stopwatch from the moment the race is started to the touch at the finish, then records the time on a timing slip. This is the best seat in the house to watch your swimmer!
- Runner: This volunteer will pick up lane sheets from timers after the conclusion of each event and take to the console desks. The position will also deliver ribbon labels to the ribbon table.
- Safety Marshall: Assists with any pre-meet parking assignments (i.e. posting signs 1.5 hours before the meet, directing traffic to designated parking spots, ensuring that traffic is not being impeded, etc.). Once the meet starts, these volunteers will monitor the deck area to ensure safety rules are being met.
- Swimmer Check-In: Checks in all swimmers and provides real-time updates to the Board on swimmers that have not checked in. At warm-ups, will provide a full list of swimmers not present.
- Ready Bench Assistant: Will inform the swimmers of their events, their assigned lanes, and greet the swimmers at the ready bench area when these events are called.
- Age Group Officer (Tent Parent): Informs swimmers of their events, their assigned lanes, and takes the swimmers to the ready bench area when these events are called. The Age Group Officer must know where their swimmers are at all times.
- Deck Set Up: Deck Set Up volunteers meet the night before to prepare the pool for meet operations. Arrives one hour prior to meet start to finish preparations. This will include helping set up ready benches, tents, chairs for timer, and whatever needs to be done in order to host a successful swim meet.
- Deck Clean Up: Cleanup volunteers tear down after the meet and ensure the deck area is clear for day-to-day swimming operations. For away meets, equipment is transported and back to the Tamarron pool and made ready for use at the next meet.
- Hospitality (home meets only): This volunteer will serve water to all of the meet workers, throughout the entire home meet. We will allow preteens and teens to assist in this position to receive volunteer hours.
